2. Stop over paying  three companies to do one job


The typical setup: an agency plans, a production company handles AV, a third-party sources the hotel, and someone else runs registration and housing. Each one is a hard cost. Each one is a handoff, and every handoff opens the risk for something to be ordered twice, missed entirely, resulting in chaos.

We suggest switching the planning order. . Think of the three behaviours you want changed, then build only the sessions that will change them. A successful sales kickoff usually needs less stage time and more of these:

  • Breakout session work by segment or territory. Smaller rooms, real problems discussed, honest interaction, and, less expensive to run than main-stage production.

  • Team building with intent. Shared meals and structured problem-solving workshops create relationships. Expensive off-site activities usually do not have the same lasting results. .

  • Structure the agenda with efficiency, not as a time filler. Every hour you remove from the main stage takes production costs down. Getting everyone in one room is a great opportunity to do the heavy lifting, so spend the money on the work that only happens in person.

4. Let the destination do some of the work

Destination choice moves the budget more than almost any other decision, and it is usually made emotionally.


A second-tier city with a direct-flight profile that matches where your sales team lives will beat a marquee resort on total cost, often by a wide margin. Reducing air travel costs which  is frequently the largest single line item. Shoulder season beats peak. A property that can hold your whole group beats a campus that needs shuttles.

5. Internal planning does not increase the budget.

The default when the budget is tight is to keep the planning internal. Someone in sales enablement or marketing absorbs the SKO on top of their real job.
